我们每天都会收到很多询盘,建立询过盘买家的档案是非常有必要的,对买家越了解,后续跟进会更针对性,
那大家平时都怎么记录买家的呢,是每次跟进的的时候都去邮箱找吗?
首先建议大家用excel来归档买家的资料,
记录买家的详细联系方式,买家对产品的要求,报价,跟进时间,跟进阶段,买家爱好,甚至买家生日等,

除了excel表格,Outlook & Foxmail也是经常被用来管理买家信息的,可以根据国家或客户特点建立文件夹,方便查看来往邮件,同时可以设置任务提醒,定时跟进客户,
也有许多同学在使用操作系统的外贸邮功能的,这类似OUTLOOK等本地接收,可以建立文件夹管理买家信息,同时结合客户模块添加备注,全方位了解买家
跟进买家的工具及频次
除了邮件之外还用哪些工具来跟进买家?
工具:即时聊天工具(TM,MSN,ICQ,SKYPE等),电话,传真
现在是一个信息爆炸的年代,单纯邮件跟进的方式,很有可能买家并没有真正了解到供应商的特质,通过即时聊天工具(TM,MSN,ICQ,SKYPE等),电话,传真,跟易于跟买家联络感情拉近距离,有效验证买家的采购需求。
大家可在邮件签名中请可能留下齐全的联系方式,同时可以主动询问买家的即时聊天工具,多去沟通。
关于跟进买家的频率,如果回盘发过去买家不回复,大家怎么跟进的呢?
我自己刚刚做外贸那会,收到一封询盘,小兴奋下,立即回过去,第二天看到还没有回复,马上又写一封邮件过去,第三天看到没回又写一封过去……,勤劳可嘉,但一定会适得其反~
联系少了怕买家忘记你,但联系频繁容易让买家反感,
如果买家没有回复,可以在第3天 ,7天 , 15天 , 30天周期跟进客户,不应过于频繁,否则一定会引起买家的反感,
而且可能会被误认为是垃圾邮件屏蔽掉,
我曾有个美国的客户就和我说过,中国是垃圾邮件的制造基地,
Tips: 跟进邮件的发送时间宜选择在星期二到星期五期间。星期六、星期日最好不要进行这样的跟进邮件,因为星期一上班后,客户的邮箱里往往会充满了需要处理的工作邮件,人们常常会没有时间或耐心仔细阅读此类业务开发邮件,而丧失机会。

案例1分析:
1、封闭式提问:Have you got (or checked) the prices or not ? 建议尽量不要这样说。因为客人不知道该yes or no。yes 说明自己很懒,no 说明自己说谎,这样子让对方不好下台,尽量提开放式的问题。
2、邮件标题:其实买家没有回复我们的邮件,很可能第一封邮件不能吸引买家打开来看,所以二次跟进时可以更换一下邮件标题。买家忽略了第一封邮件,就不要让买家再次忽略第二封邮件了。在这封邮件里,“RE:RE: I AM INSTERESTED IN YOUR BATTERIES”很明显就是没有更换邮件标题,
3、建议大家,邮件中最好写明第一次回盘的日期,标注清楚那一天发给你的询盘,

案例2分析:
1、按照这个业务员的风格,第二次跟进时,可以把上次的重点内容拷贝到邮件正文里,告诉买家我上次发了什么内容给他。上次的邮件内容用不同颜色的字体,2、不能只谈生意,尽量表示帮助感,可以跟买家交朋友。如果有什么节假日,可以利用这个机会关心客户,寒暄几句,同时把公式化的寒暄语之类的删除,使邮件显得简短一点。
案例3:

I have not got any news from you up to now, I’m sorry to inform you that your order of 50 pcs load cell DN62 cap 1000kg would be cancelled if no confirmation before 6:00of Feb 24th here.

案例3分析:
1、建议将中国时间换成买家当地时间,否则对方可能没什么概念,而且也表现出对买家的尊重,
2、可以委婉一点,多一点人情味,不要太过赤裸裸的逼单,比如,由于汇率的变化和原料的上涨,我们之前报给您的优惠价截止到24号,请在24号前确认,让客户有被绑架的感觉,非常不好,
我后来给曾小姐在后面加一句话,大家参考下:I would appreciate for your any comment about our offer, including price, quality, service,etc. No matter if it is positive answer, it is a great help for us to meet your requirements.
跟进买家模板参考
回复买家后无音讯,3-5天再次跟进,建议采用邮件的方式,
跟进的重点:体现what can I do for you? 而不是去质问买家为什么没有回复

I write to confirm if you’ve received my reply dated Dec 10,which I quoted as follows

如果客人还没有回信,两周后再问客人不回信的真实原因,
跟进的重点:了解买家对我们提供信息的意见,情词恳切,

Sorry that we still don’t receive any information from you. I would appreciate for your any comment about our offer, including price, quality, service. No matter if it is positive answer, It is great help for us to meet your requirement.

如果仍然没有回音的话,可以在过一个月左右再写一封信,跟进的目的在于永远和客户保持联系,体现良好的服务心态,
